We are seeking a highly-competent, well-organized, process-driven executive administrative assistant to support our team and the operational and administrative functions of running our firm. Overview of Key Responsibilities:

Firm Administration and Operations

This role will also support the daily operations and management of the firm. Primary areas of focus include:

  • Investor Closings - managing the entire process
  • Processing bi-weekly payroll
  • Paying bills and invoices
  • Coding bills and reconciling bank statements
  • Preparing and managing confidentiality agreements with third parties
  • Organizing company documents and files
  • Managing and maintaining company shared drives
  • Serving as relationship manager for vendors
  • Portfolio company tracking

Executive Administration

This role will serve as the executive administrative assistant to the co-founder and managing partner. Primary areas of focus include:

  • Managing calendars and scheduling meetings
  • Preparing agendas and materials for meetings in advance
  • Preparing presentations
  • Monitoring and managing social media accounts, including posting and responding
  • Managing the CRM system - ensure contact details are up to date, activities and calls are logged and recorded, ensuring data integrity
  • Managing email inboxes, including prioritizing emails and sending responses as appropriate
  • Following up from meetings and calls
  • Taking notes on meetings and calls
  • Project management work
  • Completing expense reports
  • Organizing events
  • Booking travel

Investor Relations

This role will also serve as a liaison for investors. Key areas of focus include:

  • Managing investor relations calendar, including scheduling investor meetings
  • Preparing and distributing agenda and materials for investor meetings
  • Managing investor communications and routing questions
  • Surveying investors
  • Compiling and distributing important tax documents
  • Ensuring compliance with data security protocols

Qualifications:

  • 5 - 7 years experience as an executive administrative assistant, preferably in the financial services or consumer goods industry
  • Experience with accounting functions
  • Experience with investor relations highly desirable
  • Experience with accounting software, especially Quickbooks
  • Proficiency in all Microsoft applications (esp. Excel, PowerPoint, Word)
  • Proficiency in Google Suite
  • Proficiency in using Apple Mac computers and office programs including Apple Keynote preferred
  • Proficiency in social media preferred (Facebook, Instagram, LinkedIn)
  • Proficiency in Adobe Creative Suite desirable (advantage, not a requirement; training available)
  • Bachelor’s Degree in Accounting, Business Administration or Finance
